CHINOOK SAUNA

Terms & Conditions

These Terms & Conditions ("Terms") govern every booking made with Chinook Sauna ("the Business," "we," "us"). By booking, you ("the Customer") agree to these Terms on behalf of yourself and everyone in your group. These Terms work alongside, and do not replace, the signed Waiver of Liability, Assumption of Risk, and Release Agreement, which every participant must also sign before use.

1. Booking, Payment, Cancellation & Damage Deposit

1.1 Booking & Payment

  • A booking is confirmed only once full payment (or the required deposit, if offered) is received through our online booking platform.

  • Prices include delivery, setup, and pickup within our standard service area. Locations outside this area may incur an additional travel fee, confirmed at time of booking.

  • The Customer must provide accurate drop-off location details, access instructions (gate codes, road conditions, parking), and a working phone number at time of booking.

  • Drop off time will be arranged in the days prior to your experience and standard pickup time is 11am the morning following your experience. Alternative drop off and pickup times can be arranged.

1.2 Damage Deposit

  • A refundable damage deposit is held on file (via Fareharbor) at the time of booking and is separate from the rental fee.

  • The deposit is released in full within 2 business days of pickup, provided the Sauna and all equipment are returned undamaged, clean, and with no missing items.

  • Deductions from the deposit will be itemized and communicated to the Customer, along with supporting photos where applicable.

  • Damage beyond the value of the deposit remains the Customer's responsibility and may be billed separately.

1.3 Cancellations & Rescheduling

  • Cancellations made 5 or more days before the rental date receive a full refund.

  • Cancellations made 2 to 4 days before the rental date receive a 50% refund or a full-value credit toward a future booking.

  • Cancellations made less than 48 hours before the rental date are non-refundable, except where the Business cancels for safety reasons (see 1.4).

1.4 Weather, Fire Bans & Business-Initiated Cancellation

  • Chinook Sauna reserves the right to cancel, postpone, or modify a booking at its sole discretion due to fire bans, extreme weather, road conditions, or any other safety concern.

  • If the Business cancels for these reasons, the Customer will receive a full refund or the option to reschedule at no additional cost.

2. 2. Delivery Site Requirements

The Customer must ensure the delivery site and access thereto meet the following requirements before the scheduled drop-off time. If the site does not meet these requirements and the Sauna cannot be safely delivered, positioned, or set up as a result, the booking may be treated as a late cancellation under Section 1.3, and any additional trip or wait-time fees will be the Customer's responsibility.

2.1 Access and Clearance

  • Clear route access and sufficient space to park for a truck and trailer including driveway, gates, and any overhead clearances (trees, power lines, carports).

  • Road and driveway conditions suitable for a loaded trailer (level surface, no deep mud, snow that hasn't been plowed, or washed-out sections). Chinook Sauna reserves the right to decline delivery to a site it judges unsafe or unsuitable to access.

  • Any gate codes, locked gates, or private road permissions arranged in advance so staff are not delayed or turned away at arrival.

2.2 Setup Surface

  • A reasonably level, stable parking/setup pad around for a trailer 14 ft long x 9 ft wide — gravel, packed dirt, or paved surfaces are all acceptable. Soft grass, deep gravel, or sloped ground may not support the trailer safely.

  • Customer to provide confirmation of any overhead wires or obstructions as well as  underground utilities, septic fields, or irrigation lines in the setup area that the trailer should avoid.

2.3 Fire & Safety Clearance

  • A minimum clearance of 15 ft between the Sauna's stove/chimney and any structure, fence, tree, or overhanging branch, per standard wood-stove setback practice.

  • The site must not be under an active fire ban or local burning restriction at time of delivery. It is the Customer's responsibility to research and understand potential fire restrictions for their area before booking.

2.4 Utilities

  • Water is to be provided by the Customer on-site (for the water bucket/ladle system and any post-use cleanup).

  • All units require electricity for lighting. Chinook Sauna will provide the extension cord and Customer will provide access to an external outlet or generator. For wilderness or off-grid locations, we may provide a different method of lighting.

3. Customer Responsibilities

The Customer named on the booking is responsible for:

  • Ensuring every participant reads and signs the Waiver of Liability before using the Sauna, including a parent/guardian signature for any participant under 18.

  • Providing safe, legal, and accessible parking and setup space for the Sauna trailer, as described above.

  • Supervising all guests, including children, for the full duration of the rental.

  • Ensuring no one uses the Sauna while impaired by alcohol or drugs, and that the stated maximum occupancy is never exceeded.

  • Reporting any equipment issue, damage, or injury to Chinook Sauna as soon as possible, and always before pickup.

  • Being present (or having a designated adult present) at the agreed drop-off and pickup times.

  • Leaving the Sauna and surrounding area in the condition described in Section 6 (Post-Sauna Procedures) ahead of pickup.

  • If the delivery site is located on a rented or borrowed property, it is the Customer’s responsibility to obtain permission from the property owner.

  • Following all Guidelines, Instructions, Policies and Procedures as outlined below.

4. Sauna Use Guidelines

  • Maximum occupancy is listed in your sauna rental documents based on the unit you’ve rented. Do not exceed this limit.

  • Recommended session length is 10–20 minutes per round, with breaks to cool down between rounds. Listen to your body and exit at any sign of dizziness, nausea, or discomfort.

  • Always sit or lie on a towel — do not sit directly on the benches.

  • Stay hydrated. Drink water before, during, and after your session.

  • Only pour water over the rocks using the ladle and bucket provided. Never pour any other liquid over the rocks or stove.

  • Keep the door closable at all times and avoid holding it open for extended periods, which allows heat to escape and can affect stove performance.

  • Ensure each participant is following advice they may have received from medical professionals.

5. How to Heat the Stove

In order to heat and maintain the fire during your rental, follow these steps:

1. Check the ash pan and firebox before adding wood — never add wood to a fire that is already burning hot and high.

2. Use only the seasoned, dry firewood supplied by Chinook Sauna. Do not burn treated wood, painted wood, garbage, or accelerants (no lighter fluid, gasoline, or similar).

3. Add one to two pieces of wood at a time. Avoid overloading the firebox.

4. Monitor the thermometer — do not attempt to force the temperature above the safe operating range indicated on the sauna's posted guidance.

5. Never leave an actively growing fire unattended. Check on it at regular intervals throughout your rental.

6. As your rental period ends, let the fire burn down naturally. Do not attempt to extinguish it yourself unless it is an emergency (see Section 6).

6. Fire Safety Instructions

  • A fire extinguisher is provided with every rental. Confirm its location with staff at drop-off before your first session.

  • Keep a hose, if available, or a bucket of water near the stove at all times as a backup precaution.

  • Never leave the fire unattended for extended periods, and never leave it unattended with children nearby.

  • Maintain clear space around the stove — do not store towels, clothing, or any combustible material on or near the stove or chimney.

  • Check current fire ban and wildfire restriction status for your area before and during your rental. If a fire ban is issued during your rental period, extinguish the fire immediately and contact Chinook Sauna.

  • In case of an uncontrolled fire, chimney fire, or emergency: evacuate everyone away from the Sauna immediately, call 911, and then contact Chinook Sauna.

  • Sparks or embers on dry grass, decking, or nearby vegetation must be addressed immediately with the water bucket provided and Customer’s own water supply.

  • Never transport or move the Sauna trailer.

7. Post-Sauna Procedures (Before Pickup)

Please complete the following before your scheduled pickup time:

  • Allow the fire to burn down and go out naturally — do not add new wood in the final two hours of your rental.

  • Close the damper/air intake once the fire is out to help it fully extinguish.

  • Return all loose items (ladle, bucket, towels if provided) to their original location inside the Sauna.

  • Sweep out any loose debris, leaves, or mud tracked into the Sauna.

  • Ensure the door is closed and, if provided, latched.

  • Leave the surrounding area free of litter, food waste, and personal belongings.

  • Report any damage, breakage, or malfunction that occurred during your rental so it can be addressed before the next booking.

8. Prohibited Actions

The following are strictly prohibited and may result in forfeiture of the damage deposit, additional charges, immediate termination of the rental without refund, and/or liability for resulting damage:

  • Exceeding the stated maximum occupancy.

  • Burning anything other than the supplied firewood (no treated wood, garbage, plastics, or accelerants).

  • Using the Sauna while impaired by alcohol or drugs to a degree that compromises safety.

  • Smoking or vaping inside the Sauna.

  • Bringing glass containers inside the Sauna.

  • Leaving children unsupervised in or around the Sauna or stove at any time.

  • Moving, relocating, or attempting to tow the Sauna trailer.

  • Tampering with the stove, chimney, electrical components, or structural elements of the Sauna.

  • Using the Sauna during an active fire ban or after being instructed to stop by Chinook Sauna staff.

  • Any activity that violates local bylaws, park regulations, or fire restrictions at the rental location.

9. Footwear & Deck Safety

Slips, trips, and falls are one of the most common risks around any outdoor sauna, and the Sauna's covered deck requires the same care as any wet or cold outdoor surface — a roof keeps rain and direct snowfall off, but covered surfaces can hold ice and frost longer than areas that get direct sun, so the deck should never be assumed dry or ice-free by default.

  • Wear non-slip, weather-appropriate footwear (sandals, water shoes, or boots with grip) when moving between the Sauna, deck, and ground. Bare feet or socks are not recommended outside the hot room itself.

  • Use the deck handrail at all times when using the steps.

  • Walk, never run, on the deck and steps — this applies especially when the surface is wet, icy, or snow-covered.

  • Take extra care during the transition between the hot room and any cold plunge or exterior shower, where wet feet and a sudden change in surface temperature increase slip risk.

  • Immediately notify Chinook Sauna staff of any icy, wet, or otherwise hazardous condition observed on the deck, steps, or surrounding ground so it can be addressed.

  • Supervise children closely on the deck and steps at all times — the deck sits above ground level and both the height and the surface itself require attention.

10. Age & Supervision Policy

Participants under 18 may use the Sauna only with a parent or legal guardian present and only after a parent or guardian has signed the Waiver on their behalf. Chinook Sauna recommends that children be supervised at all times around the stove, chimney, and any cold plunge.

11. Equipment Condition & Customer Liability for Damage

The Sauna and all accompanying equipment are inspected before and after every rental. The Customer is financially responsible for any damage, loss, or excessive cleaning required beyond normal wear and tear, up to and including the full replacement or repair cost of the Sauna and trailer, regardless of whether the damage exceeds the damage deposit amount.

12. Photos, Reviews & Communications

Chinook Sauna may contact the Customer after the rental to request feedback or a review. Any use of Customer-provided photos, videos, or testimonials will require the Customer’s prior verbal or written consent. Consent is entirely optional, and the Customer may decline at any time.

13. Limitation of Liability

To the fullest extent permitted by law, Chinook Sauna’s total liability arising from any booking is limited to the amount paid by the Customer for that booking. Nothing in these Terms limits liability that cannot be excluded under applicable law. These Terms are in addition to, do not replace, and should be read alongside, the signed Waiver of Liability, which contains the full release and assumption of risk provisions.

14. Changes to These Terms

Chinook Sauna may update these Terms from time to time. The version in effect at the time of booking will apply to that booking.

15. Governing Law

These Terms are governed by and interpreted in accordance with the laws of the Province of Alberta.
